We do not collect sensitive personal data as defined under Article 9 GDPR (such as health data, biometric data, or political opinions).

We collect data in the following ways:
- Directly from you, when you create an account, fill in a contact form, or communicate with us
- Automatically, through your use of the platform, including technical logs, request metadata, and usage patterns
- Via self-hosted analytics, which we operate ourselves. No data is shared with third-party analytics providers
4. How we use your data
Your data is used exclusively to:
- Provide and maintain the services you have subscribed to
- Send transactional communications related to your account (invoices, service notifications, status updates)
- Monitor and improve the security, reliability, and performance of our infrastructure
- Comply with legal obligations where applicable
We do not use your data for automated decision-making or profiling. We do not sell your data to third parties. We do not use your data for unsolicited marketing without your explicit consent.
5. Data storage and infrastructure
All data is stored and processed exclusively within the European Union. We use European cloud infrastructure throughout our stack. Your data does not leave the EU.
We apply appropriate technical and organisational security measures to protect your data against unauthorised access, loss, or disclosure. These include encrypted connections (TLS), access controls, and infrastructure monitoring.
6. Data retention
We retain your personal data for as long as necessary to fulfil the purposes described in this policy, or as required by applicable law.
Specifically:
- Account data is retained for the duration of your active account, plus a maximum of 2 years after account closure
- Billing records are retained for 7 years in accordance with Belgian accounting legislation
- Technical logs are retained for a maximum of 90 days
- Communication history is retained for 2 years from the last interaction
You may request deletion of your data at any time, subject to the exceptions described in Section 8.
7. Third-party processors
At the time of this writing, Dsync does not share personal data with any third-party processors. All services including analytics, email delivery, and infrastructure are operated directly by Dsync.
Should this change in the future, this policy will be updated accordingly and you will be notified where required by law.
8. Your rights under GDPR
As a data subject under the GDPR, you have the following rights:
- Right of access — you may request a copy of the personal data we hold about you
- Right to rectification — you may request correction of inaccurate or incomplete data
- Right to erasure — you may request deletion of your data, subject to legal retention obligations
- Right to restriction — you may request that we limit processing of your data in certain circumstances
- Right to data portability — you may request your data in a structured, machine-readable format
- Right to object — you may object to processing based on legitimate interest
- Right to withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing

9. Cookies
Dsync uses only technically necessary cookies required for the operation of the platform, such as session authentication tokens. We do not use tracking cookies or third-party advertising cookies.
For analytics, we use a self-hosted, cookieless analytics tool that does not track individuals across sessions or set any cookies on your device.
10. Changes to this policy
We may update this privacy policy from time to time to reflect changes in our services or legal obligations. When we do, we will update the date at the top of this page. For material changes, we will notify registered users by email.
